Facility: Getting Started Guide

Whether you are brand new to facility pet care services or have been running a facility company for years, we have found that learning the basics is the best way to get started in Time To Pet Facility. That’s why we’ve put together this Getting Started Guide.

This guide is meant to be a loose framework for getting started with Facility. In this guide, we will walk you through some core features to configure and how to add clients and staff to your Facility account.

Time To Pet Facility is designed to simplify many of the complex tasks of managing your facility company. Keep in mind that facility-pet care software can be complicated, and there may be a learning curve, but eventually, you will hit the “aha!” moment where it gets much easier, and you will see the tremendous benefit our system can have on your business. Just keep at it and ask lots of questions. That’s what we are here for!


Data Imports

If you currently use another facility pet care software system or you have a list of your clients in a spreadsheet, let us know. We can usually import much of your existing data into Facility. This typically includes client information, pet information, staff information, and even veterinarian information. There is no cost to our data import service! Now let’s get started!

Create Account

Step 5 - Adding A Space

In Facility, you can create Spaces for physical locations to assign pets and staff to. Spaces cannot be selected or viewed by clients. For example, you can create "Daycare Room" to assign pets to help determine capacity for this Space and service availability. Additionally, you can assign staff to this Space when scheduling staff Shifts.

Step 1 - Adding A Client

Let's get started by adding a client! To add a client, first, select the "Clients" tab on the sidebar and select "Add New Client":

Next, you can enter some basic information about this client (don't worry, you can enter more detailed information on the next screen in the client's profile). You can also select whether or not you want to send the Client Welcome Email at this point. You can always uncheck this box and  send the Welcome Email later.

Step 4 - Create A Service

Having a service is required for scheduling events. If you’re not quite sure about what services you will offer, you can create a test service like “Daycare Room” or "Boarding" for now.

Step 1 - Adding A Client

Let's get started by adding a client! To add a client, first, select the "Clients" tab on the sidebar and select "Add New Client":

Next, you can enter some basic information about this client (don't worry, you can enter more detailed information on the next screen in the client's profile). You can also select whether or not you want to send the Client Welcome Email at this point. You can always uncheck this box and  send the Welcome Email later.

Step 2 - Adding A Staff Member

To add a new staff member, click "Staff" from the sidebar in your Dashboard, then click "Add New Staff":


Next, you can enter some basic information about this staff member and choose their role within the company. Read our help articles on adding staff here: Adding Staff To Facility

Step 6 - Review Invoicing In Facility

In Facility, events are not automatically invoiced. Giving the flexibility to move selected events onto a new or open invoice. For example, client Alex comes in at different days and times throughout the week, Monday-Friday, for Fido's daycare. Instead of having an invoice for each time an event is scheduled for Fido, the Facility can choose which events they would like to add to an invoice and choose to invoice Alex at the end of the week.

Step 7 - Login To The Portal As A Client

It can be helpful to understand precisely what your clients see! That’s why we’ve built a tool that allows you to “login as your client.” This tool will allow you to log in to your client’s portal to see exactly what they see. You can login as a client from a client's profile via the "Quick Actions" button, then by clicking "Login As Client":

Step 8 - Get Familiar With The Knowledge Base

Step 9 - Activate Account

The final step of the Getting Started Guide is activating your account. You can do this by adding payment info in the Billing Section. As always, if you have any questions, just let us know!
