Facility: Understanding Invoicing

Learn how to create and send invoices, schedule services, and manage billing in Time To Pet.

IMPORTANT: Time To Pet will be sunsetting un-invoiced events in Time To Pet Facility on August 10, 2026. Existing un-invoiced events will not be impacted by this change. New events that are created after this feature has been sunset will automatically generate an invoice, just as they do in our In-Home product.

To locate existing un-invoiced events, you can use the Un-Invoiced Visits report in the Reporting > Scheduling section of your Admin Dashboard. You can add these events to an invoice in the Un-Invoiced Events section of the Client Hub by clicking Invoice Events at the top of the page. A list of all the un-invoiced events for the selected client will appear in a new window, allowing you to check the ones you'd like to move onto a new invoice. Once no un-invoiced events are left, that tab will be removed from the Client Hub.

Time To Pet Facility makes invoicing your clients extremely easy and, in most cases, is almost entirely automatic, just as it is in our In-Home product. For those accustomed to a more manual invoicing process, there might be a slight learning curve, and there are a couple of things to keep in mind.

The following information covers the "anatomy" and functions supported for invoices generated in Time To Pet Facility.

Invoices Are Automatically Generated When Scheduling Or Approving Client Services

Whenever you schedule services for a client or approve a pending service request they submitted through their Client App/Portal, an invoice is automatically generated for those services.

Scheduling Client Services Manually From The Scheduler

If scheduling services for a client from the Quick Actions menu on their profile or through the Scheduler, a New Event window will pop up, with a newly created service order showing behind it:

From the New Event window, you can choose whether the services will be added onto a brand-new invoice or onto an existing invoice on the client's account that hasn't been fully paid yet using the Invoice dropdown:

Note: If the client does not have any open invoices on their account, the New Invoice option will be locked in by default and you will not be prompted to choose from any other invoices.

Once you have finished filling out of the necessary details for the new services you are creating and select Save Event, a bar across the top of the New Event window will reflect which invoice number the services were assigned to:

You can choose to View or Change the invoice the services are assigned to from this window. When exiting out of the New/Edit Event window, you will see the services you created reflected on the service order that is attached to the invoice the services were just assigned to:

Note: Whenever you are editing events on the Scheduler, the current service order (which is a group of all events associated with one invoice) will be displayed above the calendar.

From the service order, you can add additional events onto the invoice, edit the events on the invoice, view them on the calendar, and easily move them from one invoice to another using the magnifying glass icon to the right of the invoice number in the Invoice column. For more information on doing so, please see the Moving Events Between Invoices Or To A New Invoice section of this article:

You can also go the Invoices or Packages tab to see the other invoices and packages associated with the client's account:

Approving Client Services From The Pending Request Queue

If approving a client's pending service request, you will review and confirm the details like normal, mark your team's availability, and then, when selecting Finalize Changes, you will be asked to select whether the services you are approving should be added onto a new invoice or to an existing open invoice on the client's account:

Note: If the client does not have any open invoices on their account, the New Invoice option will be locked in by default and you will not be prompted to choose from any other invoices.

Upon finalizing all services within the request, you can choose to view the service order and invoice for the services from the Client Hub by clicking Open Client Hub On Calendar:

Clicking this button will take you to the Scheduler, where you will see the service order for those events above the company calendar:

Viewing, Editing, & Emailing Invoices In Time To Pet Facility

There are a few ways to view and edit client invoices in Time To Pet Facility. We'll go through each one of them in more detail below.

From Your Company's Invoice List

The first is through your company's master Invoice List, which can be found in the Invoicing > Invoice List section of your Admin Dashboard.

Here, you can see an overview of every invoice that has been generated for your company. By default, only invoices that haven't been fully paid will be visible, but you can change the Invoice Status menu in the top right corner of the page to view all invoices or invoices that have been fully paid, voided, or are past due:

To view an individual invoice here, click the Edit button under the Actions column to pull up the Edit Invoice screen:

From here, you can manually adjust each line item of the invoice by clicking the pencil icon to the right of each line item. You can also adjust the tip or discount applied to the invoice by clicking on the pencil icon to the right of the Invoice Summary. or adjusting the discount, or adjusting the tip amount:

Note: Manually adjusting the cost or price of a line item that was generated from a scheduled event will prevent any automatic changes to that line item cost should you later update the service.

For example, suppose a Daycare service line item is manually edited to $20, and the event is updated and changed to a Boarding service. In that case, the line item will remain locked at $20 and must be manually updated directly on the invoice when the service is updated to reflect the correct pricing.

You can also use the buttons along the bottom bar of the Edit Invoice screen to log a manual payment, apply a credit or open payment on the client's account, email the invoice to the client's email address on file, download the invoice, or add or edit the invoice's tip amount:

Note: Invoices are not automatically emailed to clients; however, we have several options to make it easy for your invoices to be emailed, scheduled to be emailed, and shown to your clients, depending on your company's preferences. To schedule invoices to be sent to your clients see more on our Scheduled Messages and Bulk Invoicing features.

In addition to being allowed to manually edit the line items of an invoice, you can create custom line items, which can be used to charge fees or costs to a client that aren't already covered by the service rates on the invoice. To do so, navigate to the Edit Invoice screen for the invoice you want to add the custom charge to, and click the Add Custom Item button at the bottom of the invoice's line items.

This will generate a new line item that you can customize the Date, Title, Description, Amount, and Tax values on. Be sure to click the floppy disk icon to save your changes!

You can also view the service order and events on the calendar from the Invoice List by clicking on the calendar icon to the right of the of the invoice number in the Invoice # column:

From The Client Hub

Another great place to view client invoices in Time To Pet Facility is from the Client Hub. Here, you can view all of the invoices associated with a client's profile, add events to an invoice, edit them directly, and view any Packages the client may added to their account:

You can access the Client Hub in one of two ways:

A) In the Scheduler > Calendar tab, click the Schedule Client button:

Then, select a client from the dropdown menu and click Continue to open the Client Hub for that client:

B) When viewing a client's profile, click the Quick Actions menu in the top right hand corner of the page:

Then, select Schedule Services For Client to be taken to the Client Hub:

Navigating The Client Hub's Invoiced Events, Invoices, and Packages Tabs

First up in the Client Hub is the Invoiced Events tab, where you can see all of that client's scheduled events and the invoices they are assigned to:

When: The start date and time for the event.

Service: The scheduled service for the event.

Space: The Space assigned to the event.

Status: The status of the event (Scheduled, Checked In, Checked Out, or Cancelled)

Invoice: The invoice associated with this event. The magnifying glass icon to the right of the invoice number opens up the service order for that invoice.

Last column: Options to View the scheduled event on the calendar and Edit the event.

Next up is the Invoices tab, where you can view all invoices that have been generated for the selected client. By default, only open invoices will appear, but you can use the Status dropdown menu in the top right-hand corner of the screen to narrow down the type of invoice you're viewing or view all of their invoices:

Invoice #: The invoice's number.

Due Date: The day this invoice is due.

Date: Date of this invoice.

Total: The total of this invoice.

Balance: The balance due (the balance may differ from the total, i.e., a partial payment was made).

Invoice Status: Status of this invoice (Draft, Paid, Partially Paid, Due, or Past Due).

Lastly, is the Packages tab, where you can add Packages to a client's account and view all Packages that have been added to the selected client's account. By default, only packages that haven't been fully redeemed will appear, but you can use the Status dropdown menu in the top right-hand corner of the screen to change the type of package you're viewing or see all of the Packages that have been associated with the client:

Date Added: The date the Package was added to the client's account.

Package: The name of the Package.

Invoice: The invoice associated with the Package that contains any services redeemed to the Package.

Expiration Date: If an expiration date has been set for the Package type, it will be displayed here. If no expiration date has been set, the column will be blank.

% Used: Calculates how much of the Package's services have been redeemed by the client.

Moving Events Between Invoices Or To A New Invoice

To move events from one invoice to another existing invoice, first navigate to the Invoiced Events tab of the Client Hub. From here, click the checkmark to the left of the event(s) you would like to move. A new Move [X] Selected To A Different Invoice button will appear:

Click the button to be taken to a drop down of eligible invoices to move the events to. Select the invoice you want to move the events to from the list and click the Move button to complete the process:

Note: Only open invoices can be selected from the dropdown list.

To move an event to a brand new invoice, the process is a little different. From the Invoiced Events tab of the Client Hub, click Edit on one of the events that you want to move. The Edit Event window will pop up.

Along the top of the window, the invoice that the event is currently assigned to will be displayed, with View and Change buttons to the right of it:

Click the Change button to be taken to a new menu. From here, you can choose to move the event to a New Invoice, another existing invoice, or an open Package from the dropdown list:

Select New Invoice from the menu to move it to a brand new invoice, and then click Move Event to complete the process.

The new invoice number that has been generated for the event will be displayed at the top of the Edit Invoice window:

Once the new invoice has been created, you can move any other events in bulk to it by using the method described above.
