Learn about Packages in Time To Pet Facility.

Packages are one of the most powerful customization features in Time To Pet's Facility plan. They give you the flexibility to design bundled service offerings tailored to your business — whether that's a monthly daycare plan, a discounted boarding package, or a multi-visit grooming deal. By letting you set your own pricing, define which services are included, and track redemptions automatically, Packages help you build recurring revenue, reward loyal clients, and simplify the checkout process for both your staff and your customers.

Packages are a set of services that you often sell at a bulk rate that may be discounted. For example, you might create a “Full Day Daycare Package: Monthly” package that offers 28 days of daycare services at a discounted rate. The customer would pay you upfront and, in return, receive the discount.

You can manually add a Package for a client, or the client can add the package to their account from their Client Portal. Clients can then redeem scheduled services against this package (or you can add scheduled services from the Client Hub), and Time To Pet will automatically track the percentage of the Package used.

Accessing Packages Configuration

  1. Log in to your Admin Dashboard.

  2. Using the sidebar navigation, click "Services & Spaces," and then select “Packages.”

Creating A Package

  1. Click the button labeled “+ New Package.”

  2. A new screen will be displayed for the Package form that you can use to create your package:

Modify the fields (descriptions of the fields immediately below) and click the button labeled “Save Package” to finish creating your package.

Package Form Fields

Package Name: The name of this package. This will be visible to your clients when they are redeeming services for this package.

Package Expires: Checking this box allows you to choose an expiration date for a set number of days after a package has been added to a client's account. For example, if you offer a package for two weeks' worth of boarding services at a reduced price, you can set the package to expire 183 (approximately six months) after the client has added it to their account to encourage them to make full use of the services they purchased through their package. If you offer daycare packages, you could also choose to set the expiration for a shorter period of time, e.g. 30 days, depending on your preference:

Note: When redeeming services against their package through their Client Portal, clients will see the date that their package is set to expire if the Package Expires setting has been enabled:

Description: A short description of the package.

Private Note: A private note is not visible to the client.

Cost: The total price for this package.

Taxable: Whether or not this package is taxable.

Services: The services (and how many of each) are part of this package. A package must have at least one service.

Note: When adding Services to the Package before setting your cost, Time To Pet will calculate the full price under the Cost text box. This price is calculated on the Service's rate and how many times that service can be redeemed.

Adding Services To A Package

The heart of a package is the services that are a part of it and how many each can be redeemed. A package must have at least one service, but other than that, there are no limits.

  1. Choose the Service you wish to add to the Package from the "Services" drop-down options.

  2. Enter how many of that service can be redeemed for the Package. Please be aware that each "time" will count per pet, and Facility services are counted by pet.

  3. Click the button labeled “Add To Package.” The new service will now appear for the package.

To remove a service from the package, simply click the button “Remove Service” next to the service you want to remove. To update the count for any service, simply edit the number in the text box for that service.

Note: Any modifications you make to the services for a package (including adding a new service) will not take effect until you click the button labeled “Save Changes.”

Adding A Package For A Client

  1. Open the selected client's Client Hub on the Scheduler.

  2. Click on the “Packages” tab in their Client Hub.

  3. Click the "Add Package To Client" button.

  4. A pop-up window will appear. In the pop-up window, select the Package you wish to add from the drop-down options:

Once you have selected the Package, click the button "Add Package To Client". This action will add the Package to the client's account and generate an invoice for the Package.

​You can now view the Package in the "Packages" tab of the Client Hub.

Redeeming Services Against A Client’s Package

Services can be redeemed against a client's Package in Facility in a few ways:

  • When the client requests services using their Package

  • When services are manually scheduled for the client their Client Hub on the Scheduler

When scheduling services for a client you wish to redeem against a Package, you'll add the events normally, by clicking "Add Event" within the Client Hub.

In the "New Event" window that appears, open the "Invoice" drop down menu. From here you can select the client's Package invoice from the available options to redeem through their Package.

Once selected, you'll see this detail saved with the "Invoice" field on the new event. Click "Save Event" to schedule the service.

Once an event has been scheduled into a Package, you can check the details for the Package from the "Edit Event" window. Simply click the name of the package near the top of the window, and another small window will appear with information relating to that Package.

You can also click "Show Full Details" in the window for the Package to see which services have been redeemed through this package.


Events Redeemed Against Package When Client Requests Service

When clients request services using their Package, the software will automatically redeem the applicable events against their Package. You can see this in the "Service" section of the pending request:

You can click the Package's name, as seen in the below example, "Full Day DC: Monthly Packages":

After clicking this, you'll then see the Package's current usage. Clicking the "Show Full Details" will expand a view of the Package's history:

Reviewing the Package's full details history will show the date and time, service, pet/s assigned, as well as the event status for the events claimed against this client's Package:

Using Templates With Packages

Our Packages and Templates tools are not integrated with one another, so there is no way to automate the process of using Templates with services that you want to apply to a Package. However, you can still use a Template to automate the process of scheduling recurring services.

Note: When a Template is approved, an invoice is automatically generated for those services, and the system does not provide an option at checkout to apply invoiced services to a Package.

If you are checking out a client and would like to apply services from a Template to a Package the client has purchased, you will need to manually move the Template services onto a Package's invoice within the Client Hub using the Move To Another Invoice option.

FAQs

Q: Can clients view how much is left on a Package?

Yes! Clients can view the amount remaining on a Package when requesting services they wish to redeem against a Package. Here is our help article with more information on this: Requesting Services in Facility

Q: Can I approve a client's request into their package event if they didn't request specifically through it?

Yes! When finalizing a service request, you'll be have the option to add the service into their Package invoice:
