Learn how to manage documents in Time To Pet Facility.

It's possible to upload files for staff and clients to download through their Portals/Dashboards. This can come in handy if you have staff sign an external contract agreement or if you use a fillable vet release form for clients. You can access the Documents section for staff in the Staff > Documents section and for clients in the Clients > Documents section of your Admin Dashboard.

Global Documents

Global Documents are documents you upload once and make available to all your clients or staff. These documents can be accessed and downloaded through the Client Portal or Staff Dashboard:

Note: There is a 99Mb size limit on Global Documents.

Much like with the Client Documents section, Global Documents can be uploaded through the Staff Documents section. The documents added here will be accessible to all staff through the Documents section of their account:

โ€‹You can also delete any global document that has been uploaded by clicking the Delete Document button to the right of each document.

Uploading Document For Clients Or Staff

It's possible to upload a document for a specific client or staff member by going to their profile and selecting the Docs tab. The documents uploaded here will be accessible only to that staff member or client:

As with clients, staff documents can be uploaded from the Docs tab:

Note: There is a 99Mb size limit on staff and client documents.

Uploading Documents From The Conversation Feed

If your client has attached a document to a message sent through their Conversation Feed, Time To Pet Facility makes it easy to save the attachment to the client's Docs tab or the Vaccinations section of their pet's profile.

When viewing a message with an attachment in the Conversation Feed, Time To Pet will show you a Copy icon to the far right. This can be clicked to save the attachment to their profile:

By choosing to copy the attachment to their Client Documents from the dropdown menu that pops up, you can save this as a document that can be found in the Docs section of the client profile:

By choosing the Pet Vaccination Records option, you can choose the pet and the vaccination type that matches the documents the client sent in:

Document Accessibility

Client documents can be downloaded by the client themselves or any staff member with access to the client's profile. Administrators, Schedulers, and Tech/Runners can access a client's documents from the Docs tab of the client's profile:

Clients can access their documents from the My Info section of the Client Portal:

Staff documents can be downloaded by the staff members themselves and any Admins or Office Managers who have access to the staff member's profile:

Staff can access their documents from the Documents section of their Staff Dashboard:

Administrators and Office Managers can access a staff member's documents from the Docs tab of the staff member's profile.

Note: While you can upload any forms for your clients and staff to download in Documents, only Client Agreements can be e-signed in Time To Pet Facility.
