Facility: Bulk Check In and Out In Front Desk Mode

Learn how to bulk check in and out pets in front desk mode in Time To Pet Facility.

In Front Desk Mode, you can check pets in and out individually or in bulk through the Event Status Menu. This tool is helpful if, during "rush hours," you find you or your team need to go back and check in or out several pets for the day. In this article, we'll walk through checking pets in and out in bulk.

Bulk Checking Pets In

To get started, log in to your Facility account and launch Front Desk Mode. From the home screen, you will see the Pet Status section, which is where you can see what pets are expected that day, which pets are already checked in, any add-ons that have been scheduled for that day, and which pets have already been checked out. For our purposes, you will want to focus on the Expected section. In the top right-hand corner of the Expected section, click the Bulk In button:

In the next pop-up window, you can view the details of the scheduled events and edit the Service and assigned Space as needed. You can also use the checkmarks next to the clients and pets to determine which pets you'd like to check in:

Below, you can find more information on each column displayed in the Bulk Check-In window:

  • Client - The client the service(s) are scheduled for.

  • Pet - The pet(s) assigned to the event.

  • Service - The scheduled service for this event.

  • Space - The Space assigned to the pet/s for this service.

  • Expected - The expected arrival time is determined by the selected drop-off time.

  • Add-Ons - Any Add-Ons scheduled for the event.

Once you have finished reviewing the pets you'll be checking in and have made any necessary updates, click the "Check In Pets" button to complete the process:

Bulk Checking Pets Out

To check out already checked-in pets in bulk, navigate to the Front Desk Mode home screen and expand the Checked In section. Click the Bulk Out button in the top right-hand corner of the section:

This will open the Bulk Check Out window. Here, you will have two options for checking out pets in bulk. You can either:

  • Check out pets that were checked in on the current date:

  • OR check out pets that were checked in on a previous date:

Note: You can use the "Check/All None" button to toggle on or off the pets listed for your selection.

After selecting the pets you want to check out, you can add an optional Note and view the total charges for the day.

You can choose the Just Check Out tab, which will not charge the client and will only check out the pet:

Or, if you would like to charge or claim the events against an existing Package for the selected clients, you can choose the Charge/Package tab:

If you choose to Just Check Out, you can click the Checkout Pet button to complete the checkout process.

If you choose the Charge/Package option, however, you need to decide if you would like the events for the selected pets to be redeemed against any open packages the selected clients may have and if you would like to charge the clients via the payment method they have on file. Ensure the boxes are checked for the options you'd like to select:

  • Add to Open Package: If selected clients have an open Package on file, their events will be redeemed against that Package.

  • Charge Card: If selected, clients with payment methods on file will be charged for the selected events.

Once you're ready, click Checkout Pets to complete the checkout process and process payments for your clients (if that option was selected):

Order of Operations

If you check both Add to Open Package and Charge Card, the following steps take place:

  1. The system will try to redeem the services against any existing Packages on the client's account

  2. If no open Packages are found, the system will try to charge the default payment method on file

  3. If no open Package and no payment method on file is found on the client's account (or if the payment fails), the system will simply check out the pet


FAQS

Q: What happens if I am using Bulk Check Out and one of my client's Package is no longer applicable?

If a client's Package is no longer "open", the events will not be redeemed against the Package. If they have a payment method on file and that option was selected, they will be charged for those events instead.

Q: What happens if my client doesn't have a Package or payment method on file?

The client can then only be checked out by the Just Check Out option instead.
