Staff Time Tracking in Facility

Time Tracking allows your team to clock in and clock out of Shifts. It also includes reporting to help you quickly see data for time worked. Lastly, this data is easy to download if you need to enter it into a payroll processor.

Time Tracking is designed for facilities that pay their team members hourly. Your staff can track all of their time in the Facility, and you can then enter your information into your payroll processor to make paying your hourly employees easy. As a reminder - Time To Pet is not a payroll processor, and we do not collect employment taxes or process payments directly to your team.


Enabling Time Tracking

Time Tracking can be enabled in the Time Tracking Settings section:

To enable hourly time tracking click "Enabled".


Clocking In and Clocking Out

Your staff members can clock in and out directly through Facility when scheduled for a Shift.

To clock in or our in Time To Pet - staff can do so on the Console screen or when logging into their account.

To "Clock in" to a shift, select the "Clock In" button. Time To Pet will capture the current time and allow you to enter an optional note.

After clocking in - the "Clock In" button will be replaced with a new button to "Clock Out." This will be seen on either the Console or when logged into the Time Tracking section of the Dashboard.


Click the "Clock Out" button to clock out of a shift. Time To Pet will show you a window with the time you clocked in and an optional note when clocking out.


Viewing/Editing/Adding Time Shifts

After hourly time tracking data has been recorded, only an Admin or an Scheduler can edit this data. Time tracking can be viewed and edited directly on a staff profile page in the Time Tracking Tab.


Time Shifts

In the select staff's Time Tracking section, you can view and edit all data sources for individual shifts.

To edit a shift, click the blue "Edit" button next to each line item. You can adjust the clock-in date, clock-in time, clock-out date, clock-out time, and the optional note. You can also delete this data source if you need it.

Click the "+ Time Shift" button to manually record a new shift.

When manually recording a new shift, Time To Pet will show you the staff member for whom the shift is for and allow you to set the clock-in date and time, the clock-out date and time, and add an optional note. Just be sure to click "Add Time Shift" when you are finished.


Staff View

Staff members can view their own Time Tracking data (without the ability to edit this data) in the Time Tracking section of Front Desk Mode.


Report for Time Shifts

When staff have a scheduled Shift and are clocking in and out of each Shift directly through Time To Pet, you can generate a Shift Report to help you quickly see data for time worked. You can do this in your Pay Center.


Frequently Asked Questions

Q: Can the Admin or Schedulers clock in or out for a staff member?

Only the staff member can clock in or out of their account using the Dashboard or Console.


Q: Can I edit clock-in/clock-out data after it has been submitted?

An Admin or Schedulers can edit or delete clock-in/clock-out data after submitting it. This can be done in the reporting section or directly on a staff member's profile.


Q: Can I add an hourly pay rate? 

Because the Facility is not a payroll processor, there is no way to set hourly pay rates for staff members in Time To Pet software. However, it is possible to generate a Shift Report and use the generated reports with a payroll processor outside of Time To Pet. 


Q: Can I enable this on a staff-by-staff basis?

Yes! Once enabled, you can toggle this on or off by navigating to the Time Tracking tab in the staff member's profile.
