Sending Report Cards in Facility

When using Facility, you may want to send updates to pet parents about their pet's visit. Report Cards allow you to do just that! Using our Report Cards feature, you can create your own custom "Report Card" that can be sent to one or multiple pet parents through Front Desk Mode. You can also include a message, photo, and videos. The Report Card (along with the note and pictures) will be delivered to your client in real-time, and they can also access the Report Card in their Client Portal or App in the conversation feed.


How Do Report Cards Work?

Report Cards are updates sent to pet parents after or during a visit, such as how daycare went today or daily updates for boarding pets. The first step to utilizing Report Cards in Facility is to configure the settings for this feature. You can create any number of questions to include in your Report Card. After configuring your Report Card settings, they can be sent from Front Desk Mode.


Navigating to Report Card

  1. Launch Front Desk Mode in the Dashboard:

  1. Now, in Front Desk Mode, click Report Card on the left navigation menu:


Drafting A Report Card

To draft a Report Card, starting in the Send Report Tab, you can filter for pets you wish to send a Report Card for; you can filter for events in several different ways:

Date - Events with service on or starting on a selected date.

Space - Events assigned to a specific Space.

Service - Events with a specific Main Service.

Visit Type - Scheduled events that are either a Main or Add-On Service.


Additionally, you can filter events by their status:

Select All/None - Not filtering events by status.

Scheduled - Events that are currently scheduled for the selected date.

Checked In - Events that were checked in on the selected date.

Checked Out - Events that have been checked out on the selected date.

When ready to begin drafting your Report Card, click the "Write Message" button:


In the report draft, you can add a message in the "Message" section, attach pictures or videos via the "Add Attachment" button, select and fill out a Report Card, and answer the questions:

To send the Report Card, click Send Report.

Note: You can create and manage Report Cards in your Settings ➝ Client Settings ➝ Report Cards.

If you need to re-select the pets for your draft Report Card, click the "Re-Select Pets" button.


Viewing Sent Report Cards

To view past Report Cards, click the "Past Reports" tab. Here, you can view Report Cards sent to pet parents. You can see when the Report Card was Sent At, who it was Sent By, and the number of clients it was sent to, and you can click "Review" to see further details.

Clicking Review will show the clients it was Sent To, their pets, Primary Service for the event/s, assigned Space for the event/s, the Check-In Time, and the Check-out time.

Click on the "Preview" tab to view the Report Card's appearance when sent.

Note: You can also view Report Cards in a client's Conversation Feed of their profile.


FAQS

Q: Can I delete and un-send Report Cards once they are sent?

Once sent, Report Cards cannot be edited or deleted.


Q: Can I send a Report Card each day for pets that are checked in?

You can! For example, if you have pet/s boarding for a duration, you can send an update to pet parents each day. Filtering by "status" may be easier for this task.


Q: How do my clients receive a Report Card?

Report Cards are sent to a client's email. They can also view them in their Client Portal or Client App, and if notifications are enabled, they can receive notifications via the App.


Q: Can staff send Report Cards on their phone?

Yes, staff can send a Report Cards can be sent via a web browser (timetopet.com/dashboard) on a mobile by launching Front Desk Mode in their Dashboard.
